The Role of Training Administrator
The Training Administrator will be the first point of contact for delegates, ensuring that their customer experience is an excellent one. You will work as part of a small team of 4 to ensure the smooth running of all training administration processes to successfully achieve the overall aims and objectives of the team and meet agreed targets. You will be onsite for face-to-face London training sessions to meet and greet trainers and delegates.
Handle the administration of training activities including telephone, email, online and face to face communications with colleagues, clients and members / non-members.
Administer and process bookings and invoices via our CRM system (iMIS) and ensure that delegate records are kept up to date.
Preparation of training materials including editing delegate lists, certificates, evaluation forms and feedback and other items as required.
Process booking administration relating to any cancellations and/or transfers and liaise with the finance team on invoicing and providing support as necessary.
Act as the point of contact for all training delegates before, during and after the course should they have any queries.
Update training figures and report these to internal stakeholders on a weekly basis.
Liaise with trainers and speakers as appropriate, to keep them fully informed prior to events, as appropriate.
Provide general support to all members of the team as required and perform other duties that may arise from time to time in agreement with your line manager.
Skills & Experience
Candidates must ideally demonstrate the following skills, knowledge, and experience:
Excellent administrative and organisation skills, time management.
Previous experience of working in a customer focused environment.
Excellent at communicating - written, face to face and on the phone.
Be fully conversant with the MS Office suite of products especially PowerPoint and Excel, including working with formulas.
CRM database experience, including setting up and using queries to report on and export data.
Previous experience of Learning Management Systems (LMS).
Be able to work effectively under pressure with attention to detail.
Ability to build strong working relationships with a broad range of internal and external contacts, including volunteers, members, and colleagues.
Work well as part of a team, and on individual projects without supervision.
Conversant with social media platforms both for communication and for monitoring.
Experience of updating web pages.
