Our client who is a highly respected and established professional membership body is seeking a resourceful and highly organised Executive Personal Assistant to support their Chief Executive.
Ordinarily the role would be office based but due to pandemic restrictions thew role will be remote/home based for a fixed period of 6 months. It is possible that after this time the role could because full time permanent, but this is not guaranteed.
The ideal candidate will have experience of Executive PA at a senior level and hopefully within a membership organisation. All applicants will need to be available by the start of February. The aspects of the role detailed below are subject to change due to the homeworking nature of the role.
Key Responsibilities:
Responsible for managing the Chief Executive and Officer diaries
Maintaining the corporate calendar (including Board, Council & Committee meetings)
Maintaining contact lists for key partner organisations and stakeholders
Coordinating meetings, lunches and dinners attended/hosted by the Officers and Chief Executive
Attending meetings with Officers/Chief Executive and taking notes when requested
Logging and distributing correspondence and invitations for the Officers and Chief Executive, and responding where appropriate
Making travel and accommodation arrangements for Officers/Chief Executive and ensuring that they have their schedules when travelling
Organising and attending weekly management team meetings, monthly staff meetings and monthly Coordination and Planning meetings, taking minutes and ensuring follow-up action
Preparing PowerPoint presentations for the Officers and Chief Executive
General secretarial duties as required for the Officers and Chief Executive
General support as required e.g. back up support on Reception
Responding to general email and letters
Knowledge, Skills and Expertise
Experienced PA with excellent secretarial/IT skills
Good written and verbal communication skills.
