Our client a well-respected and reputable professional membership body is currently looking for an Executive Assistant and Governance Support Administrator
To provide secretarial and administrative support to CEO, Institute Secretary, Senior Management Team (SMT) of the institute and Presidential team.
Carry out a full range of personal and confidential administrative duties for the CEO, Institute Secretary, SMT, President and Council of institute
Build relationships with CEO, SMT and Council key contacts, acting as ambassador for CEO, SMT and Council at all times and liaise with PA counterparts externally.
Provide administrative support for Presidential team, CEO, Institute Secretary and SMT.
Prepare correspondence such as reports, briefing papers, letters, memorandums, emails, including drafting general replies.
Primary administrative contact with Council members; maintain Council member records and attendance records; supporting the Institute Secretary with Council recruitment and training.
Create Presidential and Council Sharepoint sites.
Filter emails, highlight urgent correspondence and print attachments in readiness for meetings.
Manage multiple diaries and travel arrangements effectively for the CEO, SMT and Council; produce a weekly diary and troubleshoot any problems.
Organise and arrange meetings, co-ordinate diaries, send out invitations; liaise with participants and minute meetings.
Support in administrative management and co-ordination of Council agendas and printing/Sharepoint site.
Liaise with hotels/venues to secure corporate rate.
Book accommodation for President/CEO/SMT as required.
Provide administrative and governance support to the Institute Secretary for Council meetings, Council members, company secretarial duties and ad hoc minutes for other committees and working parties.
Proactively carry out a range of duties in line with office manager responsibilities ensuring that the day to day operations of the CEO/SMT team run smoothly and comply with best practice policies and procedures
Deliver customer service in line with Customer Service Standards.
Undertake training consistent with developing skills relevant to those duties and responsibilities of the role.
Undertake any other duties of a similar level and responsibility as may be required from time to time.
Good interpersonal skills with the ability to develop and maintain effective professional internal and external relationships.

Excellent time management skills with the ability to take responsibility for own workload, prioritisation and meeting tight deadlines.
Sound administrative skills with a high level of expertise in Microsoft Word, Outlook and Excel.
RSA Stage II or III typewriting or equivalent.
Good standard of education, including Maths and English GCSE grade A-C or equivalent.
Excellent keyboard and IT skills: the ability to produce letters, emails and reports; and to proof read documents meeting customer service standards.
Ability to draft straightforward correspondence and use letter templates.
Ability to demonstrate professional approach to handling confidential or sensitive information, exercising discretion.
Ability to demonstrate a self-motivated and proactive approach.
Experience of working in a professional environment.
Experience of working within a professional sector.
